Summary:
The Administrative Assistant is responsible for assisting with the overall administrative functions of the facility to include invoice processing, receiving and inventory, file maintenance and administering Human Resource processes.
Essential Duties and
Responsibilities:
Process and obtain approval of purchase orders.
Verify receivers for accuracy of materials, cost, quantity, match vendor invoices with material packing lists and purchase orders, scan all documents electronically and appropriately file in the Computerized Maintenance Management System (CMMS) system.
Code vendor invoices for payment Accounts payable functions to include verification of items purchased, invoicing records, coordination with fellow plant personnel, vendors, and plant supervisors.
Plant payroll to include assembling and reviewing timesheets and submitting to Plant Manager for approval, submitting approved timesheets to corporate for processing.
Maintain plant administrative files and document control logs.
Initiate routine correspondence and performs word processing, with the exception of confidential information.
Provide oversight of vendor data by adding, removing and updating vendor data in the CMMS system.
Ensure insurance certificates and terms & condition documents are appropriately sent, received and/or filed.
Ensure accurate entry, proofing, and submission of purchase orders based on stock replenishment and management direction.
This includes proper product costing, shipping instructions, and resolving any changes or discrepancies.
Maintain records of all fixed assets and purchase requisitions and obtain all necessary signatures for approval.
Maintain a professional, courteous relationship with vendors, work in a safe manner, and be in compliance with all environmental permits at all times.
Deal directly with vendors to place and track order status and follow up on deliveries, tracking the progress of shipments and addressing any problems.
Receive, store, ship and issue all items, materials and equipment.
Ensure vendors comply with terms and conditions specified on purchase orders.
Ensure all received items are properly inspected, accounted for, documented and stored.
Maintain and utilize computerized maintenance management system (CMMS) for inventory control purposes.
Coordinate transfers in and out of the warehouse, tracking all movements.
Maintain inventory of all goods, including sorting, counting and organizing Complete other tasks as requested by Plant Manager.
Job Requirements:
Administrative experience and a work history that demonstrates a background in office administration with an emphasis in basic general accounting, such as AP, invoicing and payroll.
General understanding and knowledge of Human Resources practices Warehouse experience to include shipping, receiving and inventory control is preferred.
Knowledge and understanding of purchasing procedures.
Experience using computerized accounting and inventory control systems.
Willingness to work in a team environment.
Excellent time management, written and verbal communication, prioritization and organizational skills.
Physical Requirements:
Protective equipment such as hard hats, safety glasses, and hearing protection must be worn in the performance of some duties.
Position may require extended working hours with the possibility of weekend and holiday work, as required by schedules, workload and plant conditions.
This position operates from specific and definite directions and instructions under moderate supervision.
Decisions are made within prescribed operating procedures and guidelines.
This position encounters regular, recurring work situations of moderate administrative complexity with occasional new and varied work situations.
Education /
Experience:
High School Diploma or GED.
Valid Driver's License Required.
General Accounting experience preferred.
Warehouse experience including shipping, receiving and inventory control preferred.
